My Documents

The My Documents area can be used to assign documentation to Individuals, which does not require Attestation, but allows a User to review a Task/Document and even mark it as Complete to signify their Review. This is also the location where Users can retrieve Certificates that have been generated following the completion of their Training Tasks.


Delivering documentation to the My Documents area requires that it be assigned as "Training" but does not require the document to have the “Requires Attestation” option checked –

  • Admins and Officers can navigate to the Documents module and locate a document, then select the Hamburger Button () and select Edit Permissions 
  • In the pop-up form, there is a checkbox for Requires Attestation that can be unchecked to disable the Attestation Functionality
  • WARNING: Do NOT uncheck this box if the document has already been assigned for Attestation/Training. If the document is already assigned for Training, then it is recommend to create a duplicate or "Review Copy" with a similar name, then make these changes so it does not affect the current Document and Training Task. 


If done correctly, when the document that does not require attestation is assigned for “Training” in the Training Module, it appears under a User's My Documents, instead of My Tasks as a “training assignment.” This functionality may not be used very often, but it is still a capability of The Guard - This functionality is considered "Advanced", in that it is not usually a recommended option during the implementation process, but can be used for unique scenarios.


My Documents is also the User-Facing storage point for Certificates in The Guard. As described in the Training KB Article, the Certificates are generated automatically by The Guard when an Individual attests to their assigned Training. This is a simple visual representation of Training completion and is accessible by both the individual and any Officers/Admins (via the Training Module). As a User, accessing the My Documents area after completing training will provide a list of Certificates the individual has obtained, which can be viewed and downloaded, if needed.
