Training


The Training module is used when the Organization wants to assign Training Courses to their Employees in The Guard.

The Training Module allows for an Organization to select from a Course Catalog. This Course Catalog will provide all Included trainings, as well as available Premium courses, which require the purchase of Tokens to access


(Please speak with your Customer Success Manager / CSM for assistance in purchasing Tokens! -- Purchasing Tokens for Training Courses)


In addition, the previously provided "Legacy Training" videos (Cybersafety, HIPAA 101 Part 1, and HIPAA 101 Part 2) have been made available in the Course Catalog. Please note - we encourage and recommend utilizing the new Course Content as these "Legacy" videos will not be updated. 



Creating Training in The Guard now requires an easy 5 Steps:


  1. Courses
    • Select the Courses you want to be assigned - Multiple Courses may be selected for a single Training, if needed
    • Set the Cadence for the Training - Admins/Officers may now require that 1 Course be completed before accessing the next course. The order of which may be customized!
  2. Name & Description - 
    • Name the Training anything you want! The Course Name that is selected first or in Position 1 will be the default Name provided - this can be changed during the creation process or after the Training has been created. 
    • Description can be used to provide additional information regarding the Training - The Description is visible to Employees on their Employee Portal!
    • Instructor - While this specified individual does not gain any additional functionality or permissions related to the Training, this is a good identifier for the Admin/Officer who may be managing, monitoring, or is responsible for adjusting the Training(s) as needed
  3. Enrollments - 
    • Assign Employees in a number of different ways! Auto-Enrollment is enabled when using Locations, Groups, and "All Employees", but may also be disabled in the following step.
    • Enrollment Criteria may be adjusted at any time until the Training has been Closed/Archived.
  4. Settings - 
    • Set the Training Start Date - this will create the training, but only make it available starting on the date specified
    • Set the Training Duration
      1. Completion Period - 
        • Continuous and Ongoing Training, which may be Ended / Closed at any time. 
        • The Completion Period specified will apply automatically based on when an Employee is assigned the Training.
      2. End Date - 
        • Set a specific End Date for Training that will close the Training regardless of Incomplete/Overdue Tasks
    • Auto-Enrollment - Confirm whether the Training should Auto-Enroll or not - this can be adjusted at any time, if needed!
  5. Review & Complete - 
    • Review the new Training, double-check enrollments, and confirm to finish up!

Employees assigned to Training will receive an Email Notification once that Training has launched. Accessing the Link provided will take an Employee to their Employee Portal, where the Training can be accessed and completed. 


Employees are NOT required to Login to The Guard!


Admins and Officers are able to access a Training that has been launched and review progress:


This can also be done from the Enrollments tab and allows for additional options:


Admins/Officers may now Complete As Proxy any Training that has been assigned. 

IMPORTANT: Marking a Training "Complete as Proxy" completes the entire Training, including ALL Courses.


Any individuals pending completion of Training may also have Reminders resent by an Admin/Officer, as needed!




Monitoring Training

There are a few options for reviewing Progress for an Employee's Training:

  • Training > Summary Tab
  • Training > Enrollments Tab
  • People > Employee Profile


When viewing the Training > Enrollments Tab (as shown above), selecting VIEW on an Employee's Training will display progress for ALL Training courses that are assigned in the Training. 

Additionally, there are new options for Reporting available in the Training Module:


And when accessing a specific Training that has been created:


Employee Profiles will also be updated to reflect status of Training in the People module. Simply click on an Employee to open their "Profile":

IMPORTANT: Training cannot be altered from within an Employee's Profile



Certificates

This functionality under the Training Module has been moved!!! Please see People Overview for new functionality.

SOME New Courses may now award CE/CME Credit Certificates - these will be acquired following completion of the Training Course Final Exam and an Employee filling out the appropriate form. These Certificates may take some time to be delivered! Please be patient, but report any issues with support@compliancygroup.com , if needed!



Basic Certificates generated by The Guard will be available for new course content, but only for Standard/Premium Courses. These are NOT the same as the above Certificate/Seals request certificates, which are not kept within The Guard.
